    For exchange sales orders, add an option to ‘Convert to Outright Sale’. This is currently available on a Purchase Order.

    Any company that is doing exchanges runs into this issue. The work around is to open the closed SO, receive the core back in stock, then create S line, reserve the stock and then sell it out.

    This is a long winded process, and would be great to have the same feature that is on the the Purchase Order ‘Convert to outright sale’

    Hi Warren –

    See the attached upgrade checklist, this is for companies going from 10 to 12.

    Images have been encrypted and made read only – this will effect any third party applications you might have added to the system (rotabul, vistaquote, ect) . You can request CC to not make the images read only.

    Event manager has changed – its now using a new exe tool that hard codes the email address and smtp settings. If this is not configured properly, no event manager events will go out.

    Crystal reports have also been known to stop working, cc loads a patch.

    A problem companies face when testing version 12, is that event manager, images are not configured in your test server by default, so these things get missed during testing, and then you have work stoppages after an upgrade because these things were not tested due to the lack of configuration on the test server.

    The key is to not let CC of the screen share until you check the items in the attached upgrade checklist.

    Ridiculous that CC said there is not a way! All you need to do is put your second print setting to ‘Image’ and it will auto save the pdf to the Invoice Header in document imaging.

    My suggestion is to do this:

    1. Use company sites, in the description put Bill To and then the 3rd party billing company info.

    2. *Modify your Invoice form to have a third address on the header, that will say Bill To

    The modified invoice will need to have a script to pull the 3rd party billing company info where it see’s that the company has a site code with Bill To in the description. Write the code so that if you put the site code to historical, it won’t do it for when you don’t want it to do it.

    I cannot think of any other solution for you other than this as quantum does not have any 3rd party billing settings.

    *You will need Forms Designer module to do this.

    Yes, that’s correct! It was designed that way unfortunately.
    a workaround is to have the dashboards refresh at night or 5am before everyone gets in.
    or at 12:30 when everyone is at lunch.
    If you purchase the Analytics module with embedded powerBI, it won’t take up licenses

    HI Pat,
    Another suggestion would be to send the main component (the helicopter that is going to be parted out) on a repair order, Global -> Main Component -> Repair.
    On the repair order you can put the labor costs. If you do it here, then the costs will appear on the right side of the lot module where it captures the main component repair costs.

    Regarding your second comment. There is functionality in Quantum to handle this. In the parts master, select Global -> Restricted Serial Numbers. You can ‘restrict on receiving’ or just get a general alert when the stock line comes into the database.

    I am sure you already explored company warnings, based on module. This does allow a popup warning per module but you would have to do it for all companies. Can do this in mass with a SQL script.
    But out of curiosity, can you give an example of a warning on a module that you would like to see? I’ve not seen a situation where this isn’t company specific.

    There isn’t any a way for a warehouse column to be added without a lot of custom programming from CC.
    For companies using Quantum, everyone would have to upgrade to a new version for the column to be visible in Quantum if Component Control added it. They would have to add it to the Inventory Grid window and the Green Button in Inventory Control. They would need to add the new column in the customer Quote module as well as that has access to StockMarket data.
    The SMAgent.exe tool that runs on the server that updates the StockMarket would have to be replaced with a new one to accommodate pulling the new warehouse field
    The StockMarket.aero website would need to have a new roll-out to accommodate the new field.
    The StockMarket.aero mobile app would need a new roll-out to accommodate the new field, meaning a an update to the both IOS and Android Google play
    All the vendors that list inventory on the StockMarket that do not have Quantum would have to start sending in spreadsheets with a warehouse column as well.
    So now you can see why Component Control is avoiding this.
    Here is a work around, its not perfect, but perhaps consider it:
    Create 3 companies on StockMarket.aero website and put the state in the name like such;
    Corporate Jet Support (Georgia)
    Corporate Jet Support (New Jersey)
    Corporate Jet Support (California)
    and upload the the segregated stock into each one. The downside of this is that the stock will be manually refreshed via spreadsheets when you log into each account on stockmarket.aero website, however you can have event manager send a .csv file to yourself with the stock already segregated to make it easier when uploading.

    Hi Gabrielle, to answer your question, yes, when you have approved vendors setup by vendor name/pn, and you have the flag turned on in RO Settings, it will prevent an RO from being created for non approved vendors. If you need me to show you how this works let me know. thanks Jason Cordoba.

    I would just use the no quote flag. So if the line item on the quote has the check box no quote=’F’ then it gets ignored.

    Then you don’t have to worry about condition codes, or pricing.

    HI Jake, When we (AJW) went live with Quantum Accounting in 2016, we paid for CC to enhance the AR import to include more columns, it lacked columns for fields that are in the AR header/Detail that we needed. This was done in a later version of 10.

    It now works great, but I am unsure if it updates existing AR records.

    Hi Larry, I would suggest you use the Receiver module for all items coming in regardless of PO.

    The receiver module will let you measure supplier/vendor performance and also internal KPI performance with reporting.

    When units are booked in with the receiver, they do not go into inventory and make accounting adjustments until they are fully checked/inspected.

    The receiver module enables a ‘final inspection’ process, meaning is all the paperwork with the unit to be scanned, photos taken of the unit and so on. This also allows for defect recording, meaning is the nameplate missing, missing trace and so on. There is a ‘finalise’ feature or ‘Deny’ feature. You can run measurements on how many times a supplier /vendor sends units that are denied, qty issues and so on.

    An example of internal KPI’s:

    Monday you receive 100 items in the warehouse, and they book them all in using the receiver module going through the inspection process. However, the people in the warehouse might not actually link the units to the PO/RO/SO/WO for 2-3 days later. This could mean there is not enough people in the warehouse to process all incoming volume or they were unable to find a match for the incoming unit and transaction in the system. This internal bottleneck could be raising a red flag that you need more staff to handle the volume, or are the PO’s not being raised correctly in the system so that there is identification to match the incoming paperwork from the suppliers

    The problem with quick receiving it that it skips the inspection process, it just allows you to book an item in the system straight away, not knowing when it actually arrived or if there were any quality issues.

    Attached is a SQL to bring back all sales orders since 2018, you can change the date.

    If there was a quote, po, ro or invoice it will show it on the row.

    The report does not capture credit memos or non-stock items such as fees.

    If you need it to capture fee’s and credit memos, I can re-write.

    On that users computer, go into the local client install of quantum.

    min that folder delete all the files except for quantum.exe and quantum.loc

    Empty the recycle bin

    Go back to the folder and click on quantum.exe

    it will rebuild all the files, including .dll files.

    log back into quantum and see if this helped?

    Just want to mention another issue with Crystal Reports and event manager

    crystal reports 64 bit is the only version that SAP is supporting.

    Event manager will not email out the report, it will give a cryptic error in the error log.

    the reason for this is quantum is 32bit and the drivers clash.

    Reporters this to component control in Sept 2020, they were unaware, and I did a screen share to recreate the issue.

    They said they would purchase a 64bit crystal and work on the issue.

    There has been no update as of yet.

    solution is to get refund for 64bit and go back to 32bit unsupported version

    I’ve done the SQL for this, and in doing so I found a bug in the WO Profit Browse! If you requote a WO, the browse will never calculate the requote, it will always calculate the original wo quote.

    I fixed this in my SQL, I also combined the data from the WO Profit Browse and the WO TAT Browse into one SQL formula, with some other added things like ‘days in house’ and ‘days since last status change’ to get some ageing in these reports. See attached

    You could use the HOLD feature.

    This will prevent anyone from reserving the stock

    two ways to manage this, 1. By editing the stock line and using the hold radio button

    or, 2. In the Lot Module. Since this is customer owned stock, you can have a separate LOT and there is the button on the bottom of the LOT that says hold/Unhold

    The Quantum report uses quantity oh hand, so it will pick up most items reserved.

    However it doesn’t get all reserved items depending on your financial policy. For example, at AJW we could not use the standard report from Quantum. I had to write new inventory valuation monthly files to include stock out on repair (where the unit is at a repair shop and will be back) or exchanges – unit is out with customer but we will get a unit back. We wanted to include these items as we owned the stock, they were just temporarly out but still our owned property.

    As far as work order units, peice part reservations are on the quantum report and normal ‘stock’ sales order reservations. I would have to double check for ‘remote inventory’ reservations.

    If you have the LOT module, Manage all the stock in the LOT

    Most importantly use a consignment code, edit the consignment code and FLAG “True Consignment”

    If you don’t have the LOT module, you can still use the Manage Consignment feature, inventory control drop down -> Consignment view -> enter consignment code.

    this will show you how the consignment stock is transacting in various grids.

    Hi Kristen,

    There is a new feature in quantum that will alert when a serial number is restricted.

    In Inventory, go to any pn. Select Global -> Restricted Serial Numbers.

    You can set the serial number here, and choose if you want a pop up warning when the unit is received in receiving, or you can choose to block the unit from being booked in during the receiving process.

    First you need to export the problem part numbers via SQL

    Select pn, pnm_auto_key from parts_master

    Then identify the ones you want to change in excel, and clean them up leaving the first column with the corrected PN and second Column as pnm_auto_key

    Once you have done that, insert a column infront of the part number and infront of the pnm_auto_key column.

    In column A put this: UPDATE PARTS_MASTER SET PN=”

    (you need to use a double ” because excel will automatically remove one of the ‘ marks and you need one in front and in back of the pn)

    in column C put this: ” where pnm_auto_key=

    then in column E put this: ;

    That will end the statement for each row when you do your massive update.

    Copy and paste everything from the excel into oracle SQL developer.

    Use a find and replace all to fix the spaces between the pn and the ‘

    You should then have something this in your sql statement:

    UPDATE PARTS_MASTER SET PN=’854-003-00′ WHERE PNM_AUTO_KEY=xxxxxx;

    UPDATE PARTS_MASTER SET PN=’63-522-00′ WHERE PNM_AUTO_KEY=xxxxxx;

    UPDATE PARTS_MASTER SET PN=’809809-000′ WHERE PNM_AUTO_KEY=xxxxxx;

    UPDATE PARTS_MASTER SET PN=’252-300-00′ WHERE PNM_AUTO_KEY=xxxxxx;

    You are correct, they took Screen Designer off the menu years ago. They have another screen editing module that is safer for companies to use. It doesn’t have the same extended functionality of the earlier one, but it does enable more customised options.

    Hi Josh, what if you were to purchase the kit components on a PO, receive them in as line items in stock.

    Then in the parts master screen, for the main component, select Kit Components and build your kit, adding the piece parts that make up that kit. there you can even assign a cost.

    Go into the new LOT, select Global -> Transfer into Lot

    You can bring back the previous lot by putting the lot number and flagging all of them.

    Do just one as a test, to see if it brings the SO/RO history or not.

    We got this working yesterday – Kristen and I compared settings and it came down to the check boxes and flow of events as she mentioned. Thank you very much for your help and also Neil Prodger who reached out to me basically identifying the same things as he has done this before.

    Everyone here at AJW Technique is very pleased with the outcome. The automated process is running so smooth now. No interruption to any customer service teams or shipping receiving teams.

    Automating this process has saved an average of 5 hours per day for our AR person in finance.

    What other software product allows this sort of navigation on two or three separate monitors?

    If CC had an example, it might help with the suggestion but I’ve never seen any software product separate itself between multiple monitors and allow separate navigation.

    If you do this logged in as sysdba and setup and sort the grids to be ‘the standard’ for the company, then all the accounts that get created after will follow this standard setup.

    But usually finance wants a different view to warehouse, versus sales ect. So would be nice to have ‘templates’ setup by department that would apply to the grids in Inventory Control, Company Management and Work Order Research
